Last year I was filming the whole time and hardly got to enjoy Viva at all. I went shopping on the last day 2 hours before my flight and saw 2 bands. However, I made some amazing friends, and strengthened old friendships, so it was totally worth it.
I have two trips in Feb (rockabilly reunion and Disneyland) so I feel like I need to concentrate on those before I start planning for Viva. However, I am starting to collect ideas for the outfits I want made, and will be getting together with my seamstress to work on that soon.
I always have a packing list (or 3) and a theme or color scheme for my outfits when I travel. I have some great packing tips on my website, and follow them every time I travel (which is all the time). I've got it down to a science now!
VLV15 will be my sixth time going, and I've yet to ever see all of the bands that I plan to! Smartphones and Google Calendar have definitely made scheduling easier over the years, though. I've already started blocking out what/where/when, and I've learned to accept that I am guaranteed to miss something that I wanted to catch. I was really ticked to miss out on Wanda Jackson at VLV13 (the room was at capacity), but she came through town last year and I was able to catch her at a more intimate venue. Things have a way of working themselves out. :)
I always make a visual guide of what I plan to wear on which day, all the way down to underpinnings and jewelry; it helps with packing (not too much, not missing anything) and makes getting dressed every day or for a specific event a snap!

I have a spreadsheet where I break everything down to which bra and what stockings, but the visual guide is more slapdash. Here's what one day (Saturday: car show, burlesque contest) looks like. And no, I never did get to the pool that day.
Ooo! I hadn't thought about visual aides for what I have packed. I may need to steal that, lol!
